TicketSource Brevo Follow-up User Guide
TicketSource Brevo Follow-up helps you create or send Brevo follow-up emails for TicketSource attendees who have opted in to email marketing.
What The Plugin Does
- Syncs TicketSource events and performance dates into WordPress.
- Lets you choose which performance dates should receive follow-up emails.
- Checks when selected performance dates are due for follow-up.
- Creates a Brevo contact list for opted-in attendees.
- Creates a Brevo email campaign using your chosen Brevo template.
- Emails nominated users when a campaign has been created or sent.
By default, the plugin creates draft campaigns so you can review them in Brevo. You can change the default behaviour so campaigns are sent immediately.
Before You Start
You will need:
- An Administrator account for your WordPress website.
- A Smudge Hosting license key.
- A TicketSource API key.
- A Brevo API key.
- A Brevo email template ID.
- A verified sender email address in Brevo.
- One or more email addresses to receive campaign draft notifications.
Installing The Plugin
- Log in to your WordPress admin area.
- Go to Plugins > Add New Plugin.
- Click Upload Plugin.
- Choose the TicketSource Brevo Follow-up ZIP file.
- Click Install Now.
- Once installed, click Activate Plugin.
Adding Settings
- In WordPress, go to TS Follow-ups.
- Open the Settings tab.
- Enter your License Key supplied by Smudge Hosting.
- Enter your TicketSource API Key.
- Enter your Brevo API Key.
- Add the Brevo Template ID that should be copied into each draft campaign.
- Enter the Sender Name and Sender Email.
- Choose whether new performance dates should be automatically included for follow-up.
- Choose whether follow-up campaigns should be created as drafts or sent immediately.
- Add one or more Notification Emails.
- Click Save Settings.
If you leave the Brevo folder ID blank, the plugin will create and remember a Brevo folder using the folder name shown in the settings.
The installation defaults are:
- New performance dates are not automatically included for follow-up.
- Follow-up campaigns are created as drafts.
Preparing The Brevo Template
Create or choose the Brevo template you want the plugin to copy for follow-up campaigns.
The template can use these placeholders:
{{ params.EVENT_NAME }}{{ params.EVENT_DATE }}{{ params.PERFORMANCE_DATE }}
The plugin replaces these with the TicketSource event name and performance date when it creates the draft campaign.
Syncing TicketSource Events
- Go to TS Follow-ups.
- Open the Events tab.
- Click Sync TicketSource Events Now.
- Wait for the sync result message.
The Events tab will show synced TicketSource events grouped with their performance dates. The plugin also runs an automatic sync in the background.
If Automatically include newly synced performance dates for follow-up is enabled in Settings, new dates found during sync are selected automatically. Existing selections are not changed by this setting.
Choosing Follow-up Dates
- Go to TS Follow-ups > Events.
- Expand the event you want to manage.
- Tick Include next to each performance date that should receive a follow-up email.
- Click Save Follow-up Selections.
Saving selections does not create a Brevo list or campaign immediately. A follow-up is created only when the selected performance date is due.
Processing Follow-ups
The plugin automatically checks for due follow-ups in the background.
You can also run this manually:
- Go to TS Follow-ups > Events.
- Click Process Due Follow-ups Now.
- Review the result message at the top of the page.
For each due selected performance date, the plugin checks TicketSource bookings, filters for opted-in attendees, creates a Brevo contact list, adds the contacts, and creates a Brevo campaign. The campaign is either left as a draft or sent immediately, depending on the saved default behaviour.
If no opted-in attendees are found, the plugin records that result and does not create a Brevo list or campaign for that date.
Reviewing Campaigns In Brevo
When a campaign is created, the Events tab shows links to the Brevo list and campaign.
- Open the campaign link from WordPress or from the notification email.
- Review the campaign content in Brevo.
- Make any required changes.
- Schedule or send the campaign from Brevo if it was created as a draft.
If the default behaviour is set to Send immediately, the campaign is sent as soon as Brevo accepts the send request.
Reprocessing A Date
If you need to create a new draft for a performance date, use Mark not processed on that date in the Events tab.
This clears the saved processing result and selects the date for follow-up again. You can then click Process Due Follow-ups Now when you are ready.
License And Updates
The plugin uses a license key to receive automatic updates.
If the license status is Active, WordPress can show plugin updates under Dashboard > Updates or Plugins.
Before updating, make sure your website has a recent backup. Then update the plugin in the same way you would update any other WordPress plugin.
Troubleshooting
If no events appear, click Sync TicketSource Events Now and check that the TicketSource API key is correct.
If processing reports missing API keys, go to the Settings tab and save both the TicketSource and Brevo API keys.
If processing reports missing campaign settings, check that the Brevo template ID and sender email have been saved.
If a performance shows no opted-in contacts, TicketSource did not return any bookings with email marketing consent for that date.
If a Brevo campaign is not created, check the error message in the Events tab and confirm that the Brevo API key, template ID, sender email, and Brevo account permissions are correct.
If updates are not appearing, check the Settings tab and make sure the license status is Active.
